Scope and who is responsible
This notice applies when Infra Care IT receives or handles information from applicants, prospective candidates, interns, contractors being considered for work, and people whose details are provided as a referral or reference. Infra Care IT is responsible for deciding how applicant information is used for its own recruitment.
The Careers page contains Infra Care IT roles. The separate Find Jobs page contains clearly labelled external-employer listings. Check the employer and application destination shown on the individual listing before sending any information. Our general Privacy Policy applies alongside this notice.
Applications sent directly to external employers
For a role labelled “External employer”, Infra Care IT is not the employer or recruiter. The application button or email route sends your information directly to the named employer, and Infra Care IT does not receive the application unless you separately choose to copy or send it to us.
The external employer decides how it collects, uses, shares, secures, and retains your application. Its privacy notice and recruitment terms govern that processing. Following an employer application link or original-source link also takes you to a third-party service with its own terms. Review those details before applying, and contact the employer about rights concerning an application sent directly to it.
We may retain the public listing details and limited website activity described in our Privacy Policy, but not the CV or application content sent through an external route. Employers or authorised representatives may request a correction or removal at career@infracareit.com.
Candidate information we may handle
When you apply to Infra Care IT or otherwise send candidate information to us, we may handle:
- name, contact details, location, and communication preferences;
- CV, cover note, portfolio, employment and education history, skills, certifications, languages, and professional memberships;
- role preferences, salary or rate expectations, availability, and work-location preferences;
- interview, assessment, correspondence, and evaluation notes;
- references and verification information if a role reaches that stage;
- information about work eligibility, residency, or reasonable workplace adjustments where relevant and lawful; and
- offer, onboarding, or contracting information if you are successful.
We do not ask applicants to send banking credentials, passwords, or unnecessary identity or medical documents with an initial application.
Where information comes from
For recruitment handled by Infra Care IT, we normally receive information directly from you by email and during recruitment communications. We may also receive it from a person who refers you, a reference you nominate, a recruitment provider, or a professional profile you have made publicly available when relevant to a role. If someone refers you, we will provide this notice when reasonably practical.
Why we use it and our lawful bases
We use candidate information received by Infra Care IT to communicate with you, assess suitability, organise interviews or assessments, verify information at an appropriate stage, make and document recruitment decisions, prepare an offer or contract, meet legal obligations, and protect recruitment systems from misuse.
Where applicable law requires a lawful basis, we generally rely on steps you request before a contract, our legitimate interests in operating a fair and effective recruitment process, legal obligations, or consent when a particular use requires it. If we need sensitive information, we will identify an additional lawful condition and minimise what is requested.
Recruitment decisions
Recruitment decisions made by Infra Care IT are made by people. We do not use the careers website to make a decision producing legal or similarly significant effects based solely on automated processing. External employers control their own recruitment decisions and should explain their practices separately.
Applying is voluntary. If information essential to assess a role is not provided, the relevant employer may be unable to progress the application.
How long we keep candidate information
For an unsuccessful or withdrawn application handled by Infra Care IT, we normally retain recruitment correspondence and application records for no more than 12 months after the relevant process ends. We may keep limited information longer when reasonably needed for a legal obligation or dispute, or when you agree that we may consider you for future opportunities. If you join Infra Care IT, relevant recruitment information becomes part of the applicable worker or personnel record.
Infra Care IT does not set the retention period for applications sent directly to an external employer. Copies in our own backups may remain for a limited additional period until securely overwritten.
Your choices and rights
Depending on your location and applicable law, you may ask to access, obtain a copy, correct, delete, or restrict candidate information; object to certain processing; withdraw consent prospectively; or complain to the relevant authority. Exceptions may apply, including where records are needed for a legal obligation or claim.
For information held by Infra Care IT, email career@infracareit.com with “Recruitment privacy request” in the subject. Contact the named employer for an application sent directly to it. We may ask for proportionate information to verify identity before disclosing or changing a record.
Applying safely
Confirm the employer and destination before applying, especially when a listing links to an external website. Send only information relevant to the role. Please do not include account passwords, payment-card information, bank-login details, full medical records, or identity documents in an initial application.
If you give Infra Care IT information about a referee or another person, please make sure you are authorised to do so and direct them to this notice.
